Specify the document you need
A request for “my tax information” leaves important questions unanswered. State that you need Form W-2 for the particular tax year and explain whether you need an original copy, another copy, or a correction.
An individual paycheck and an annual wage statement answer different questions. A collection of pay statements can help you investigate an issue, but do not treat an independently assembled total as an employer-issued W-2.
If you worked across more than one employment arrangement, identify the relevant employer or payer from your records rather than assuming every document must arrive through the same route.
Separate access from document availability
An inaccessible employee account does not establish that the form has not been issued. Ask how the employer makes the relevant record available to someone with your current employment status.
Likewise, being able to sign in does not establish that the correct tax year is available in that account.
For a former employee, include your employment dates and ask which secure process applies. Supply sensitive identifiers only when requested through a verified, appropriate channel.
Describe a suspected error precisely
Record the tax year, the box or field concerned, the amount or information shown, and the reason you believe it needs review.
Useful supporting material may include the relevant employer records and prior correspondence. Send only what is needed through the authorized channel.
Avoid “correcting” the file yourself. Your own annotated copy can help organize a question, but it does not become a corrected wage statement issued by the employer.
Keep the date of your request, the case reference, and any response describing the next step.
Use IRS guidance for an unresolved form
The IRS page checked for this article addresses the 2026 filing season. It says that, after contacting the employer, taxpayers still missing a form or correction by the end of February may seek IRS assistance.

Keep the employer-issued form, any correction, and the correspondence that explains it. Label files by tax year so that a replacement copy is not confused with a correction.
